Several properties on one account

6 min readYour accountUpdated September 24, 2026

In plain words

There is no limit on how many properties you can belong to. Switch with the Property selector to the right of the tab row, and your choice is saved in that browser. A property that is not paid for, not connected yet, or set aside with Not now does not appear in the list until it is set up. Your role can differ from property to property.

The Property selector

To the right of the tabs on the dashboard (under them on a phone) sits a dropdown labelled Property, with the placeholder Select property. It lists every property where you hold an active membership, in alphabetical order. It appears even when you belong to one property, so a one-item list is normal. If your properties can't be read, "Couldn't load your property." with Try again sits where the selector goes.

Pick a property and the calendar, rules, room types and the open tab reload for it, and so do the banners at the top of the dashboard: billing, the lost connection, the review and the rules that keep adjusting. A banner for the property you left goes as soon as you switch. Nothing from the property you left stays on screen under the new one's name: if a part of the new property can't be read, that part says it couldn't load, with Try again.

Your choice is saved in that browser for up to 400 days, so the next time you sign in you land on the property you last picked. Signing out clears the choice, and the next sign-in opens the first property in alphabetical order.

Example: Sam's two properties

Sam is Hotel Admin of The Harbour Inn and a Viewer at its sister property along the coast. The selector lists both. On The Harbour Inn Sam can do everything. On the sister property Sam can read the calendar and the change log and change nothing, because the role there is Viewer. Roles: who can do what has the full table.

How many properties

There is no limit. MAYA sets no cap on how many properties one account can belong to, whether you own them or were invited to them.

Each property is its own subscription, so the limits that do exist are per property:

  • Rooms. Each property pays for its own room count, any whole number from 1 to 500. Over 500, email us. Your room count and what you pay has the brackets.
  • Seats. Each property has its own seats, set by its own room count. Someone on two properties takes a seat on each.

To add a Cloudbeds property to your account, click Connect App for it in the Cloudbeds Marketplace and sign in on the page that opens. The payment screen for it follows. For ThinkReservations or Mews, email us (the tabs below say more). There is no button inside MAYA for adding a property.

One account can hold properties on different systems at once, such as a first hotel on Cloudbeds and a second on ThinkReservations. Each keeps its own connection, subscription, rules and team, and all of them appear in the same Property selector. Add the Cloudbeds one from the Marketplace as above. For a ThinkReservations or Mews property alongside it, email us from your MAYA sign-in address.

Why a property is missing

Only properties that are fully set up are listed. A property is missing for one of these reasons, in rough order of likelihood.

  • It has not been paid for yet. A property that came over from the Cloudbeds Marketplace stays parked until its subscription starts. If none of your properties is live yet, signing in takes you to the payment screen for it. If another is already live, signing in opens the dashboard and nothing there mentions the waiting one: go to maya-rms.com/onboarding to reach its payment screen, or email us. Paying for a group of properties explains the queue.
  • You paid but have not connected your property system. A direct sign-up creates a placeholder that stays invisible everywhere until the connection is made. Signing in takes you to the connect screen.
  • You set it aside with Not now. It is waiting under Properties not set up yet on the Billing page. Click Set up there.
  • You are not a member of it. Someone else at that property created the account. Ask its General Manager or Hotel Admin to invite you from the Team page.
  • You removed yourself, or were removed. The same fix: ask to be invited again.

A property whose subscription has lapsed or been cancelled still appears in the list. The dashboard banner on it says that work has stopped and where to fix it.

Roles are per property

Your role is set on each property separately. The same person can be Hotel Admin on one and Viewer on another. Each property's General Manager or Hotel Admin invites people and picks their role there, and one property's team cannot see or change another's. To give a colleague access to several properties, invite them from each property's Team page.

Groups from the Cloudbeds Marketplace

One Connect App in Cloudbeds can hand MAYA every property your Cloudbeds login covers. You pay for them one at a time, each is its own subscription with its own rules and settings, and each appears in the selector once it is paid for. Paying for a group of properties walks through it.

ThinkReservations and Mews

Several properties on one login connect in one go through the Cloudbeds Marketplace. From maya-rms.com directly, you pay first and connect one property at a time, and a Cloudbeds login that covers several properties is refused at the connect step, after you have paid. So for a group, use Connect App in the Cloudbeds Marketplace before paying. If you have already paid on maya-rms.com and see the message that your login covers several properties, email us rather than starting again from the Marketplace.

Switching did nothing

If a switch fails, a short red line under the selector says so: "Couldn't switch to Sea View Inn. You're still on The Harbour Inn. Try again in a moment." Nothing else changes. The selector, the calendar and every tab stay on the property you had. Try again in a moment, and if it keeps failing, reload the page.
