In plain words
Click Team at the top right of the dashboard. Under Add someone, enter their email, set What they can do to Viewer and click Send invitation. They get an email with a single-use link to set a password. A Viewer sees everything on the property and can change nothing.
Invite them
- 1
Open the Team page
Click Team in the dashboard header. You need General Manager or Hotel Admin access. The counter at the top right reads how many seats are used, for example "1 of 2 seats used · 20 rooms".
- 2
Fill in Add someone
In Their email, type their work address. In What they can do, choose Viewer. The line under the form reads the role's description: "Can look, cannot change anything."
- 3
Send it
Click Send invitation. The page reads "Invitation sent to name@yourhotel.com. They'll get an email with a link to join." They are on the property from that moment, before they open the email. Their address appears straight away under On this property as a Viewer, with a role dropdown and Remove, like everyone else. The email's link is only how they set their password.
What they receive
An email with the subject "You have been invited to The Harbour Inn on MAYA" and a button Accept the invite. The link is single-use and expires. It opens a page headed "Set your password" with an optional full name, a password of at least 8 characters, the Terms checkbox and Set password & continue. Then they are on the dashboard.
If they have signed in to MAYA before, from another property say, no email goes out: they are added to the property at once and see it in the Property dropdown the next time they open MAYA. The page says "Added. name@yourhotel.com already uses MAYA and will see this property next time they sign in."
What a Viewer sees
A Viewer can view every price but cannot change any of them. They see all five tabs, the prices on the calendar, every change log entry including Show the numbers, the PMS tab, and any banner. They cannot type a price, add, switch or delete a rule, tick Counts as a room, set a date aside or answer the amber banner. The Billing and Team pages show them a line saying who handles those. A Viewer who tries to add a rule sees an error, and the rule switches and Delete buttons do nothing for them.
Seats
Change or remove them later
Under On this property, each member has a role dropdown, which saves the moment you change it, and a Remove button. That includes someone who has not opened the email yet, so Remove is also how you take an invitation back.
There is no resend button, and inviting the same address again while they are a member does nothing new: the page answers "That person is already on this property." If their link expired or the email went astray and they have never signed in, click Remove and invite them again as a Viewer: a new email goes out with a fresh link. Or email us with their address and we send a new link.
