In plain words
Rooms left to sell is how many rooms you can still sell that night on the room types the rule measures: rooms to sell, less rooms you've marked out of service in MAYA, less rooms booked. Fewer than 5 means 4 or fewer. In a rule built only from conditions like this one, the change stays on while the rule is true and comes off when it isn't, though with the undo box unticked, cancellations usually don't take it off through a Fewer than line or a Greater than occupancy line (The undo box). Alongside a or condition, rooms left must be true when the rule acts, and with the box ticked, cancellations that take a Fewer than line back to the mark can take the change off.
The definition
In the rule builder, pick Rooms left to sell in the Metric dropdown. Its Compare dropdown reads Fewer than or More than, and its Threshold is a whole number of rooms, 5 to start. A threshold with a decimal is rounded to a whole room when you save.
For each night, MAYA adds up, over the room types the rule measures:
- Rooms to sell: the room type's room count, less any rooms you have marked out of service for that night.
- Rooms booked: every room booked for that night, every room of a group booking included.
Rooms left is the first less the second. A room type with no rooms to sell that night is left out, as leaves it out, and the total is never below 0. When no room type the rule measures has rooms to sell, there is nothing to count, and the condition is not true. Rooms left is exactly what sellable occupancy leaves unsold. On the Rules tab the condition reads "Rooms left fewer than 5".
Example: Queen at Juniper Lodge
Queen has 12 rooms. Two are out of service this week. Seven are booked for Saturday.
Rooms to sell 12 minus 2, which is 10. Booked 7. Rooms left: 3. A rule set to Fewer than 5 is true, so it raises Saturday.
Fewer than 5 means 4 or fewer
Comparisons are strict. Fewer than 5 is true at 4, 3, 2, 1 and none left, not at 5. More than 10 is true at 11 or more, not at 10.
What counts
A room type you have unticked under Counts as a room on the PMS tab is never measured, so a court or a meeting room never adds rooms left. The change log says when a rule's count leaves one out: "That count leaves out Pickleball Court."
Rooms held in a group block that nobody has booked yet are not read from any property system, so they count as left. So do rooms blocked in your property system that you haven't marked out of service in MAYA. That is why MAYA can show more rooms left than your property system does. A More than rule that cuts can then lower a night a held block has really filled. If a block should count as taken, mark its rooms not yet booked out of service in MAYA, and lower that number as guests book into the block (clear the entry and add it again with fewer rooms). Otherwise rooms left won't read right once guests book from the block. Read Room types and rooms out of service.
Cancellations and the undo box
A Fewer than rule is true because rooms filled up, and only a cancellation (or more rooms to sell) can open them up again. With the undo box ticked, as it is on every new rule, the change comes off once a cancellation takes the night back to the mark. Unticked, cancellations usually don't take it off through rooms left, or through a Greater than part, and the rest of the rule is read as it is (The undo box).
A More than rule is read as it is, ticked or not: new bookings end it.
On a or pickup rule, rooms left is one more thing that must be true when the rule acts. With the undo box ticked, a cancellation that takes a Fewer than part back to the mark takes that rule's change off too. The change log then says: "Rooms left to sell had risen to 7, and the rule needs fewer than 5." Read Changes after cancellations.
On Mews
The rule builder's Metric dropdown doesn't list Rooms left to sell on a Mews property yet, and a link that would fill it in, like the button on this page, fills in nothing there, with a note that says why. is there, and it reads the same rooms as a share.
While MAYA can't read your property's system, because that read or the read of your properties failed, the builder leaves Rooms left to sell out on any property, since the system could be Mews. A link that names it fills in nothing then, with the note "The rule builder doesn't offer Rooms left to sell until it can read your property system, so nothing was filled in."
What the change log says
- "It had 3 rooms left to sell, under the 5-room mark you set."
- "Standard and Deluxe had 3 rooms left to sell, under the 5-room mark you set.", when the rule measures other room types than it changes.
- "It had no rooms left to sell, under the 5-room mark you set."
- "It had 12 rooms left to sell, past the 10-room mark you set.", for More than 10.
