In plain words
Install MAYA from the Cloudbeds Marketplace, set up payment, and let MAYA read your history. Check what it found, watch your rules in simulation, and check your time zone and currency on the PMS tab before you go live. When you go live, MAYA sends each room type's changed prices to its in Cloudbeds, on a cycle that runs about every five minutes. Each step below is a line or two, with a link to the page that explains it.
Before you start
- A Cloudbeds login that can install apps for the property. Read Cloudbeds.
- A card. Stripe holds it. Nothing is charged until the trial ends (7 days for Marketplace installs). Read Codes and the free trial.
- A base rate of its own for every room type you want priced: a rate plan that does not follow another plan and has no public name. Read Setting up your system before you go live.
Day one
- 1
Install
In Cloudbeds, open the Marketplace, find MAYA, click Connect App and approve. The hand-over link lasts 24 hours. If your login covers several properties, all of them connect at once. Read Paying for a group of properties.
- 2
Create your account and pay
Create your MAYA account and open the link in the confirmation email, in the same browser, or switch to Sign in if you have an account. Then click Set up payment. Read Setting up payment.
- 3
Pick a path
Hold My Hand asks five short questions and walks you through the review. Let Me Drive skips the questions and takes you straight to your dashboard, where a banner opens the review once it has something to check. Read Hold My Hand or Let Me Drive.
The first days
- The history import starts the moment you claim the property and runs on its own. You can close the page. Read The history import.
- The review lists what MAYA found and, with about 60 days of history, your . Untick anything nobody sleeps in, such as a meeting room. Read Checking what MAYA found.
- Floors and ceilings are set by the import from your answers and your own rates. Check them in the Guardrails column of the Rate Simulator tab. Read Floors and ceilings.
- Coming from PIE? Import from PIE on the Rules tab turns a screenshot of PIE's Rules and Alerts page into MAYA rules, with PIE's price limits as floors and ceilings. Read Import your rules from PIE.
- Simulation. Your rules run on the you keep in Cloudbeds, read about once an hour, and nothing is sent. Read Simulation mode.
- Blocked rooms. MAYA does not read Cloudbeds blocks or out-of-order rooms. Enter them under Rooms out of service on the PMS tab. Read Tell MAYA rooms are out of service.
Going live
- Check your time zone and currency. MAYA copies them from Cloudbeds when you connect and checks them again once a day, following a new time zone, and a new currency while you simulate. The PMS tab shows both under Time zone and currency, and nothing waits on them while you simulate. Before you go live, check they are right, and email us if either is wrong. Read Time zone and currency.
- A General Manager or Hotel Admin clicks Go live on the amber strip at the top of the dashboard ("Simulation · MAYA works out prices but sends nothing to Cloudbeds"), after the review, and confirms "Send The Harbour Inn's prices to Cloudbeds?" (with your property's name). The review itself has no Go live. Read Going live.
- From the next cycle, MAYA sends each room type's changed prices to its . Derived plans follow by Cloudbeds' own rules, and nothing else in Cloudbeds changes. Read What MAYA reads and writes and How prices reach your property system.
- Switch off other automatic pricing first. Any feature in Cloudbeds that changes the base rate by itself, such as automatic pricing, PIE's rules or yield rules, counts as another revenue tool. Leave it on while you simulate if you like, and switch it off before you go live, or the two will write over each other. If it has to stay on, turn on MAYA's price wins in Settings. Read Switching from another revenue tool.
Daily life
A normal day once you are live takes a few minutes:
- Open the Change Log tab. Its default view shows only the runs that changed a price, so read what moved and why.
- Look for a banner: billing, a lost connection or an amber one. The amber one says 3 or more of a rule's raises or cuts are on the same night, and asks whether it should keep going. Read Rules that keep adjusting.
- At the top of the change log, look for "Prices not reaching Cloudbeds".
- On the PMS tab, check that Last sync is a few minutes old. It is shown on your own computer's clock, with the time zone after it: the PMS tab has an example. If it is more than an hour old, bookings are not being read, even if Connection reads Connected. Read When there is no banner.
- For your own events, such as a wedding or a local festival, type a price on those nights.
The rest runs without you, day and night, whether or not anyone has MAYA open. Other things you may meet:
- A rate you change in Cloudbeds on a night MAYA has sent to and confirmed is kept as yours when you change it an hour or more after the send. Read Rates you change in your property system.
- A free night. MAYA never sends a price of 0, so set a to 0 in Cloudbeds yourself. Read Make a night free.
- A sending problem shows at the top of the change log as "Prices not reaching Cloudbeds", with what to do. Read When your property system does not accept a price.
- A lost connection shows a banner, and a General Manager or Hotel Admin reconnects in one click. If it is still down after about an hour, they get an email. Read Connection lost.
Leaving
Cancel on the Billing page first, then disconnect in Cloudbeds under Marketplace, then My Apps. The rates in Cloudbeds stay as MAYA last sent them. Read Cancelling, restarting and leaving.
Example: The Harbour Inn's first week on Cloudbeds
Monday, October 5, 2026. Sam clicks Connect App, creates the account, sets up payment and picks Hold My Hand. The review shows Standard, Deluxe and Suite, with the Meeting Room already unticked. The import has already set floors and ceilings from The Harbour Inn's own rates, and Sam checks them in the Guardrails column of the Rate Simulator. Sam adds a "Busy nights" rule (more than 80% full, raise 10%).
Tuesday to Thursday. In simulation, the property reaches 17 of 20 rooms for Sat, Nov 14 2026, and "Busy nights" raises Standard from the $150 in Cloudbeds to $165. Nothing is sent. On Thursday Sam checks the PMS tab: Time zone and currency reads America/Los_Angeles, US Pacific, and USD ($).
Friday, October 9, 2026. Sam clicks Go live. On the next cycle MAYA reads the base rates again, then sends the changed prices. The "Non-refundable" plan, which follows Standard at 10% off, shows $148.50 for that Saturday without MAYA touching it.
Saturday, October 10, 2026. A 4-room wedding booking for that Saturday cancels in Cloudbeds. Within about five minutes the count drops to 13 of 20, "Busy nights" no longer holds, and the price comes back down on the next cycle.
