In plain words
Go to the PMS tab, find the room type under Room types, click + Rooms out of service, enter the dates and the number of rooms, and Save. Those rooms come off the sellable count for those nights only, so occupancy reads against what you can sell. Nothing is sent to your property system, and rooms you block there are not read by MAYA, so enter them here.
Add the block
- 1
Find the room type
On the PMS tab, scroll to Room types and find the row. Under it, click + Rooms out of service.
- 2
Fill in the block
From is the first night. To is the last night and defaults to the same night. Units is how many rooms of that type are off sale, from 1 up to the type's count. Reason (optional) takes a few words, such as Renovation.
- 3
Save
Click Save. The block lists under the row as "3 out of service", the dates, and the reason, with a Clear link. MAYA re-prices the nights of the block from the next cycle, within a few minutes.
Adding or clearing a block needs Revenue Manager access or higher. One block can cover at most 366 nights. Blocks on the same nights add up, and the total cannot exceed the type's units: MAYA tells you how many you can still block.
What changes
is rooms booked divided by rooms you can sell that night. A rule reads it over the room types it measures, and a new rule measures every type that counts as a room. At The Harbour Inn that is Standard, Deluxe and Suite: 20 rooms, or 17 with 3 Standard .
Take a night with 8 Standard, 5 Deluxe and 1 Suite booked. A rule that measures all three reads 14 of 17, or 82%, instead of 14 of 20, or 70%. A rule that measures Standard alone (only Standard ticked) reads 8 of 9, or 89%, instead of 8 of 12, or 67%. Either way, an occupancy rule set at Greater than 80 fires with the block and not without it.
The calendar shows the same reduced counts. On this night the day card reads "14/17 rooms", and the day detail reads "Booked 8/9" for Standard.
A rule on booked so far vs usual reads the same 17 rooms to sell: its percent is of 17, and the usual is worked out on 17 too, so the renovation never makes a night read as behind usual. Read Booked so far vs usual.
Nothing else moves. MAYA sends no availability, no closures and no restrictions to Cloudbeds, ThinkReservations or Mews. Block the rooms in your system as you normally would, and enter them here so MAYA's numbers match.
When the work is done
Click Clear beside the block. The rooms come back into the sellable count from the next run. Cleared blocks are kept for the record but no longer shown. A block whose last night has passed needs no clearing: it only ever counted for its own nights.
