In plain words
Open the PMS tab, scroll to Room types, and untick Counts as a room on the meeting room's row, then press Save. From then on that type is left out of , the calendar's room counts, , recent bookings and the room count you are billed for. It can still be priced if a rule changes it.
Untick the room type
- 1
Open the room types
Go to the PMS tab. Under the connection cards is a section headed Room types, one row per active room type with its unit count and a Counts as a room checkbox.
- 2
Untick Counts as a room
On the Meeting Room's row, untick the box. The row dims, gains a "not a room" tag and shows "Not saved" beside the box. Nothing is saved yet: a strip under the list reads "1 change not saved".
If the box is already unticked with a "needs your answer" tag, nobody has answered for that type yet, and it still counts in occupancy. Tick the box, then untick it: the tag changes to "not a room".
- 3
Press Save
In the strip under the list, press Save (or Discard to put the boxes back). It saves every change you made in the list at once, with no confirmation, and "Saved." shows under the list. Your billed room count is checked again straight away. If a save fails, you see why, and the changes that did not save stay, ready to try again.
Changing it needs General Manager access or higher, since it also changes the room count you are billed for. Below that the box is greyed out. The change re-prices every night of the window from the next cycle, nearest nights first, so occupancy rules on the coming nights read the new figure within a few minutes, and the furthest nights over the next few cycles.
What changes
- Sellable occupancy. Only ticked types, and types still tagged "needs your answer", are divided by. The Harbour Inn has 20 rooms plus a Meeting Room. With it ticked, 18 booked rooms read as 18 of 21 (86%). Unticked, they read as 18 of 20 (90%).
- The calendar. The day card's "18/20 rooms" and its percentage leave out types tagged "not a room", and so do its and when your calendar shows them. Revenue on the card still sums every type.
- Booking speed. Bookings for an unticked type are not counted, and it is never measured by a rule.
- Recent bookings. Bookings for an unticked type no longer count toward a recent bookings condition either.
- Sending. MAYA sends no price to your property system for an unticked type unless one of your rules ticks it (under Apply to room types, or under Change when the rule changes different room types), or you type a price for one of its nights on the calendar (that night is sent as you typed it). Your own rate for the Meeting Room stays as it is there. The floor and ceiling answers from setup are never written onto a type once it is unticked, but a floor or ceiling it got before then stays: a spa slot, court or cabana MAYA asked about rather than unticked can carry your room floor. Check its floor on the review before a rule ticks it, or a rule can send it at that floor.
- Rules. In the rule builder the type is tagged "not a room" and starts unticked. A rule that ticks it can still change its price, and that price is sent. A rule that measures only unticked types (the Meeting Room alone, say) has nothing to measure, so its , rooms left, , booked so far vs usual, , current rate and average rate booked conditions are never true. A condition counts days, and recent bookings counts every room type that counts as a room, whatever the rule measures, so a rule whose only conditions are those two still acts and changes the room types it is set to change.
- Your bill. The room count MAYA measures from your system leaves out unticked types, from the moment you save. If you were running more rooms than you pay for only because of the meeting room, the banner saying so goes at once. Lowering the count never lowers your bill on its own: set it on the Billing page. Read Change the room count you pay for.
